Compliance & Legal

Built for Ontario Law Firms

LexIntake is designed from the ground up to comply with Law Society of Ontario guidelines, PIPEDA, AODA, and the professional responsibility standards that govern Ontario legal practice.

Law Society of Ontario (LSO) Compliance

LexIntake adheres to the LSO's Guidelines on the Use of Artificial Intelligence in Legal Practice and the Standards of Professional Conduct.

AI Disclosure to Clients

Lawyers using AI tools in practice must disclose AI assistance to their clients. LexIntake makes this easy — every output includes a clear "AI-assisted" label and a recommendation to have a qualified lawyer review the result.

Professional Responsibility

Lawyers remain professionally responsible for all work product, whether AI-assisted or not. LexIntake is a tool that assists legal professionals — it does not replace a lawyer's judgment, analysis, or professional obligations.

No Unauthorized Practice of Law

LexIntake is designed for use by legal professionals. Our tools provide legal information, not legal advice. We do not hold ourselves out as providing legal services to the public, and our products include clear disclaimers to that effect.

Competency Obligations

The LSO requires lawyers to understand the tools they use. LexIntake provides documentation explaining how each AI tool works, its limitations, and appropriate use cases to help lawyers meet their competency obligations.

PIPEDA & Privacy Compliance

LexIntake complies with the Personal Information Protection and Electronic Documents Act (PIPEDA) and Ontario privacy legislation.

No Permanent Data Storage

Documents uploaded to our Document Risk Scanner are processed in real-time and not permanently stored on our servers. Chat conversations are retained only for the duration of the session and deleted within 30 days.

Encrypted in Transit

All data transmitted to and from LexIntake is encrypted using TLS 1.3. API communications use HTTPS with modern cipher suites.

AI Processing Confidentiality

Your data is processed by AI models that do not retain or learn from your inputs. Conversations and documents are not used to train or improve any AI model.

Data Residency

Our current infrastructure is hosted on secure servers in Finland (EU) with strong data protection laws (GDPR-compliant). For Ontario law firms with strict Canadian data residency requirements, we offer Canadian-hosted deployment options. Contact us to discuss your specific needs.

Client Information Handling

Personally identifiable information collected through our intake tools is handled in accordance with PIPEDA principles: limited collection, consent, accuracy, safeguards, and openness.

AODA Accessibility

LexIntake is committed to meeting the Accessibility for Ontarians with Disabilities Act (AODA) standards.

Keyboard Navigation

All interactive elements on LexIntake are fully operable via keyboard. Forms, buttons, links, and custom widgets can be accessed and used without a mouse.

ARIA Labels & Semantic HTML

All interactive components include proper ARIA labels, roles, and states. Pages use semantic HTML5 elements (headings, landmarks, lists) for proper screen reader navigation.

Color Contrast

Our design meets WCAG 2.1 AA contrast ratios. Primary text is high-contrast on dark backgrounds. Interactive elements have visible focus indicators.

Form Accessibility

All form inputs have associated labels, error messages are announced by screen readers, and required fields are clearly marked. Forms can be completed using assistive technology.

Product Disclaimers

Every LexIntake AI product includes clear legal disclaimers appropriate to its function.

Smart Intake Chatbot

This chatbot qualifies leads using AI — it does not provide legal advice. Conversations are not protected by solicitor-client privilege. Always consult a qualified lawyer for legal matters.

Deadline Calculator

Deadline calculations are estimates based on Ontario statutes and should not be relied upon as legal advice. Limitation periods can vary based on discoverability rules and other factors. Always verify deadlines with a qualified lawyer.

Document Risk Scanner

AI-generated risk analyses are for informational purposes only and do not constitute legal advice. Documents are processed in real-time and not permanently stored. Always have a lawyer review any risk assessment before acting.

Intake Form Generator

AI-generated intake forms are templates and should be reviewed by a qualified lawyer before use. Forms may need to be adapted to your firm's specific practice and jurisdiction requirements.

Demand Letter Drafter

AI-drafted demand letters are templates for review by a qualified lawyer. They do not constitute legal advice. Have an Ontario-licensed lawyer review and approve any demand letter before sending.
